When and where is Dealer Week 2024?

Dealer Week, the MRAA’s annual conference and expo, will be held December 8-11, 2024, at the Orange County Convention Center in Orlando, Florida. The event starts on Sunday December 8th at 5:00 p.m, and runs through Wednesday December 11th at 12:45 p.m.

When does Exhibitor Registration open for 2024?

As an exhibitor, what are my options? 

The Dealer Week in-person event will feature an interactive Expo Hall with networking experiences designed to connect dealers and suppliers with one another. Standard booth sizes available from 10x10 to 40x80, click here to see booth sizes and prices.

What is included with a Dealer Week Booth Space?

Each 10x10 and 10x20 booth will be provided with a Standard Booth Kit (unless declined):

  • Pipe and Drape – 8” backwall and 3’ sidewall drape in white

  • 6’x3’ white skirted table

  • 2 chairs

  • Standard ID sign (will include organization name of and booth number only)

  • Trash basket

  • 2 Company Personnel Event Registration Passes

  • Final 2024 Dealer Week Attendee Registration List with contact information (does not include email addresses)

  • Standard Company Profile within the event mobile app

NOTE: Carpet or flooring is required for ALL exhibitors. You can purchase carpet through the Exhibitor Kit, or bring your own flooring. Any exhibitors that do not purchase carpet prior to the deadline will be charged onsite and provided whatever color is available in inventory. Please inform us if you plan to bring your own carpet.

What is the move-in and move- out schedule for Dealer Week Exhibitors?

Sunday December 8, 2024 from 8am-5pm - General move-in for 10x10, 10x20, 20x20s and all in line booths.

Friday or Saturday, December 6-7, 2024 – Assigned island booth & boat move-in, for island booths and booths displaying boats ONLY. AEX will assign both date and times based on logistical access and lift needs. We send all targeted move in booths a diagram template and a survey to collect this information. Final move in and out schedules cannot be completed until this is received from all boat booths. Please make hotel arrangements to arrive the day prior.

Move-out will begin on December 11, 2024 at 11:30am, or as soon as ALL ATTENDEES have left the expo hall, NO EARLIER. If exhibitors are found to be moving out earlier, they will be subject to penalty fees or a delayed booth selection slot for the following Dealer Week conference and expo.

What is the Exhibitor/Sponsorship Cancellation Policy?

Receipt of an approved Exhibit/Sponsor application is a legally binding agreement to support Dealer Week. Therefore, notification of Exhibit/Sponsor cancellation or reduction must be submitted in writing by electronic, registered or certified mail, with verified confirmation of receipt by MRAA. Refunds will not be given for no-shows. Contracted Exhibitors/Sponsors that cancel or reduce commitments are required to pay the following fees:

  • For cancellation or reduction of agreement on or before October 1, 2024, the Exhibitor/Sponsor will pay 50% of the total contracted fee.

  • For cancellation or reduction of agreement on or after October 2, 2024, the Exhibitor/Sponsor will pay 100% of the total contracted fee.

  • If a company reduces, increases, or cancels their Exhibit/Sponsorship agreement at Dealer Week, the registration badge allowance will be reduced, increased, or forfeited respectively.

  • Exhibitor/Sponsors that reduce their physical booth size on or after October 2, 2024, will be financially responsible for the cost of carpeting and/or creating lounge areas of the square footage not used due to the reduction in the physical booth size and will be subject to booth relocation.

In the unlikely event that the 2024 Dealer Week Conference and Expo in-person event, scheduled for December 8-11, 2024, in Orlando, Florida is cancelled, the event will convert to a virtual only event (exact dates TBD). Contracted Exhibitors/Sponsors would then be presented with the following options:

  • The 50% down-payment received with the Exhibit/Sponsor agreement will be applied toward a virtual exhibit space, and that will account for 100% of the virtual exhibit space fee for 2024.

  • If you submitted an application for larger than a 10x10 booth space, you can defer the balance submitted above and beyond the virtual exhibit space fee toward an exhibit space agreement for the 2024 Dealer Week Conference and Expo in-person event.

  • OR, if you would like to withdraw your 2024 Exhibit/Sponsor agreement (forfeit the virtual exhibit space), we will refund your investment, minus a $150.00 cancellation fee. Notification of Exhibit/Sponsor cancellation must be submitted in writing by electronic, registered, or certified mail, with verified confirmation of receipt by MRAA, no later than October 1, 2024

 

Will there be a lead retrieval system? 

Yes! Booked exhibitors will have the opportunity to purchase lead retrieval system from Dealer Week partner eShow. eConnect Lead Retrieval will be available for purchase closer to the event date and as a booked exhibitor, you will be notified when it is available for purchase with details to follow. 

 

I only have a few things to bring in, do I have to pay the General Service Contractor?

The definition of a POV or Privately Owned Vehicle, is considered to be any vehicle that is primarily designed to transport passengers, not cargo or freight. Examples include pick-ups, passenger vans, taxis, limos, and small box trucks. Exhibitors that do not require material handling services, will have 30 minutes to hand carry their materials into the expo hall from the docks FREE OF CHARGE. This means carrying in your own hands, or with a nonmotorized cart or dolly. Carts are available to rent from AEX as well. If more time is required,  AEX will place exhibitor in a designated space to unload without impeding others moving in, if space is available. If space is not available, you may be required to pay material handling to keep move in schedule on time.

If exhibitor needs a forklift or motorized/non-motorized jack service, you will need to make arrangements with AEX in advance. Costs will also be required for a spotter if you wish to drive into the hall. Please see the exhibitor kit for further details.

 

In Conjunction Event Scheduling

No scheduling of conflicting meetings or private parties to take place during the official Dealer Week show hours or MRAA social and networking events. Please contact Sarah at sarah@mraa.com with any questions or to notify us of events during afterhours of the event especially if it coincides before or after scheduled Dealer Week dates as it may impact our hotel room block. Notification will allow us to address any concerns ahead of time for the best experience for our attendees.

 

Can I record video at Dealer Week? Do I need a press pass?

You are welcome to record videos and take photos of your booth. Please be courteous of who is in the video or photos (attendees, neighboring booths) and gain permission before distribution. If you are interested in further video and photography, please email your request to sarah@mraa.com. Please include type of recording (phone, professional grade camera, etc) and your intended recording times/plans.

If you’re looking for a press pass, this can be issued based on your inquiry to Sarah Korbel noted above. We will need to know who you represent, intended medium, etc. Based on your needs she will determine next steps and/or send you a permission to film form and get you registered.
